How it Works

Our systems are able to identify individual telephone lines coming into our call centre, so in order for our service to work, we give our clients their own unique virtual reception telephone number to divert their business lines to us. This means that our service is always available to our clients and their calls will always be answered as they request whether we receive one call a week or one hundred calls a day for them.

Some clients use us as a call overflow service, others to answer all their calls- as you have control over your divert, it really is up to you how little or how much you use your virtual receptionists. The service is extremely flexible and your instructions on how we are to handle your calls can be updated weekly, daily or hourly.

How to Divert Calls

The majority of our clients choose to divert calls through to us although a few actually give out their unique virtual reception number direct to clients meaning that all company calls are answered by us.

Diverting all calls on a BT Line
    • To divert ALL calls dial: *21* [enter your unique virtual reception number (VRN)] then dial #
    • To check call divert dial: *#21#

Diverting calls when unanswered on a BT Line
    • To divert calls when unanswered dial: *61* [enter your unique VRN] then dial #

Diverting calls when phone is engaged on a BT Line

Diverting calls from another service provider

If your telephone service provider is not BT (i.e. Telewest, O2, Virgin Media etc) or you do not have a standard analogue line (PBX or ISDN for example), please contact us on 0845 122 6564 and one of our phone engineers will be able to assist.

Setting Up a Profile

All new clients are required to set up a profile with us as this allows our operators to answer your calls correctly. The profile should take no longer than 10 minutes to fill out and along with your contact details we ask :

    • How would you like your calls answered? e.g. "Good morning/afternoon, ABC Limited, how can I help you?"
    • Operators response? e.g. out on an appointment / on another call etc / <call to be transferred>
    • What information would you like us to collect from your callers? (in addition to name, contact number and message)
    • How would you like us to relay your messages to you? e.g. email, txt message, calls to be transferred

There is also an additional notes field where we ask that you describe your line of business, we find that the more information you can give us on your company and it's history the better our virtual receptionists can handle your calls and enquiries.
